Getting Started with Helpers HMS
Welcome to Helpers HMS, the healthcare management solution available through Helpers ERP.
This guide takes a new user from login to patient registration and the first appointment.
Implementation note: Verify all menu names and screenshots against the deployed Odoo 19 HMS instance before publishing.
1. Sign in
Open your Helpers ERP HMS workspace and sign in using the account provided by your administrator.
The menus and records available to you depend on your assigned role and permissions.
Typical users may include:
- Administrators
- Reception staff
- Doctors / Physicians
- Nurses
- Billing or accounting users
- Other healthcare staff enabled by installed modules
2. Understand the HMS dashboard
The HMS dashboard is the main operational entry point for your healthcare workflow.
Depending on your permissions, it may provide access to:
- Patients
- Physicians
- Appointments
- Treatments
- Prescriptions
- Clinical records
- Billing-related actions
- Other installed healthcare modules
TODO for implementation agent
- Capture the current Helpers HMS dashboard screenshot.
- Document each visible KPI and card.
- Confirm which cards open filtered Odoo actions.
- Add a short explanation for each KPI.
3. Register a patient
Before creating appointments or medical records, the patient must exist in the system.
Basic flow
Helpers HMS
→ Patients
→ New
TODO: Replace the path above with the exact deployed menu path.
Typical patient information may include:
- Full name
- Contact information
- Date of birth
- Gender
- Identification information
- Address
- Emergency contact
- Responsible physician, if applicable
- Other clinical or administrative information enabled in the system
Save the patient record when complete.
The patient record becomes the central reference for future appointments, consultations, prescriptions, treatments, and other clinical activities.
4. Search for an existing patient first
Before creating a new patient, search the patient list to avoid duplicate records.
Recommended workflow:
- Search by patient name.
- Search by mobile number or another identifier where available.
- Open the existing patient if a matching record is found.
- Create a new record only when necessary.
5. Create the first appointment
Once the patient exists, create an appointment.
Basic flow
Helpers HMS
→ Appointments
→ New
TODO: Replace with the exact deployed menu path.
Typical appointment information may include:
- Patient
- Physician
- Appointment date
- Appointment time
- Department or specialty
- Visit purpose
- Notes
- Other fields enabled by the HMS configuration
Save the appointment.
6. Open the consultation
When the patient arrives and the clinical visit begins, the doctor or authorized clinical user can open the appointment or related clinical record.
The clinical workflow may include:
- Reviewing patient history
- Recording symptoms or complaints
- Adding clinical notes
- Recording diagnosis information
- Creating a prescription
- Recording treatments or procedures
- Requesting additional services when relevant modules are installed
TODO for implementation agent
Verify the real state transitions used in the deployed system. Do not publish guessed states.
7. Complete the visit
At the end of the visit, complete the appointment or consultation according to the configured workflow.
The patient's history should remain linked to the patient record so it can be reviewed during future visits.
Depending on installed modules and configuration, the workflow may continue into:
- Prescription management
- Treatment
- Laboratory
- Radiology
- Pharmacy
- Hospitalization
- Surgery
- Invoicing
- Payment
- Follow-up appointment
Only modules actually deployed in Helpers HMS should be shown to customers.

10. Troubleshooting
I cannot see the Patients menu
Your user may not have the required access group.
I cannot create or edit a patient
Check whether your role provides create/write access for patient records.
I cannot see another user's appointments
This may be caused by role-based or record-level security rules.
My dashboard numbers look different
Dashboard values may depend on your role, company, department, date filter, and record access.
